Cataloging analytics for serials is a combination of adding volumes and cataloging monographs. We use analytics to emphasize the individual authors, titles, and subjects of volumes within a serial set. The only advantage of keeping volumes attached to a serial is the fact that a single classification number groups the volumes together on the shelves.
For each serial volume that is analyzed there must be a master record for the serial title AND individual records for each volume.
Usually item records for individual volumes are linked to the analytic record rather than the master serial record. A general note is on the master serial record telling the patron to look for item records under individual authors, titles, series names, and call numbers.
In a few cases (usually with serials that have several volumes brodarted together) the item records are linked to the master serial record and each individual volume analytic record directs the patron to the master record for holdings.
Procedure:
1. Find copy for the individual title in OCLC. Be sure that the serial call number (with the addition of the individual date, number, or volume you are working with) and the CURRENT correct form of the serial title are edited into the record. Add subject headings if necessary. The serials librarian will resolve problems.
2. Pull the shelf list and serial record of the master serial. On the shelf list, in addition to the usual copy information, put SOMETHING that identifies the analytic record relating to that specific volume. It might be the OCLC record number; it might be the main entry of the analytic. THERE HAS TO BE A WAY TO FIND THE ANALYTIC RECORD LINKED TO THE SERIAL.
Put a red dot on the analytic record to indicate that a record has been cataloged in our local online catalog. A red check or a short underline on the serial record indicates the same thing.
3. Catalog the volume as usual, but update the record in OCLC rather than producing a shelf list. It already exists. Export the updated record to the local online catalog. Physically process the added volume in the usual manner.
4. Many serials will not have all their volumes analyzed. Usually only the more recent years have been done. The note on the master serial bibliographical record in the online catalog should reflect the situation. If a note was added in the early 1990s, there will be a penciled AB on the top part of the paper serial record.
