CATALOGING ELECTRONIC JOURNALS
 

 

I.                    When there is an existing record for the title in Voyager (either paper or microform).

 

1.      Bibliographical Record

 

a.      Access from one source

 

Add an 856 field for the URL of the e-journal.  The first delimiter value is 4 (for HTTP access) and the second 1 (for version of the resource).  In subfield ‡u, add the URL.  Use persistent links whenever possible. 

 

Example:

856 4 1 ‡u http://www.jstor.org/journals/00373222.html

 

Use the 994 field (if existing) or add a 994 field to indicate the source of the e-journal.  Leave both delimiters of 994 blank.  In subfield ‡a, add a local code for the source (for a list of local codes, see Carole).

Exceptions: no need for 994 if it’s an e-journal from JSTOR or Project Muse.

 

Example:

994 _ _ ‡a BIOQ                   (for e-journals from BioOne)

 

b.      Access from more than one source

 

Add one 856 field for every URL (see #a above).  Then in each 856, add subfield ‡z to indicate where the e-journal comes from.  Use the language: “Click here for online issues from                                  ”  Use the briefest language possible to identify the source (JSTOR, BioOne, Ingenta, etc.).

 

Example:

856 4 1 ‡u http://www.jstor.org/journals/00373222.html ‡z Click here for online issues from JSTOR

856 4 1 ‡u http://muse.jhu.edu/journals/shakespeare_quarterly/ ‡z Click here for online issues from Project Muse

 

Use a separate 994 field to add the local code for each source (see #a above).

Exceptions: no need for 994 if it’s an e-journal from JSTOR or Project Muse.

 

Examples:

994 _ _ ‡a BIOQ                   (for access from BioOne)

994 _ _ ‡a INGQ                   (for access from Ingenta)

 

2.      Holdings Record

 

a.      Access from one source

 

Use 852 to indicate the nature of e-journals.  Leave all delimiters blank.

 

852 _ _ ‡b wwwjstor             (for JTOR e-journals)

852 _ _ ‡b wwwmuse                       (for Project Muse e-journals)

852 _ _ ‡b wwwjour              (for all other e-journals)

 

Use 866 for the volumes we have access to.  Leave all delimiters blank.  The format of the volume range should be the same as the print/microform format.

 

Example:

866 _ _ ‡a Vol. 1 (1950)-v. 54 (2003)

 

b.      Access from more than one source

 

Create one separate holdings record for each source of access.  Use 852 and 866 as in #a.

 

In each 866, add a subfield ‡z to indicate the source of the access.  Use the language “From

II.                  When there is no existing record for the title in Voyager

 

  1. Find an appropriate record in OCLC and export to Voyager.  Do not add our holding to an e-journal in OCLC.

 

  1. Add holdings record to reflect our access to the e-journal.  Refer to Part I for details.
