Basics
852 Field Basics
In most
cases, we will make 1 MFHD per copy.
Multiple copies of text rental books on reserve
can be attached to a single copy record.
We are
using the following 852 indicators:
Indicator 1
<blank>=no information
0=Library of Congress
3=SuDoc
8=Other
IMPORTANT: If there is a call number and the first indicator is blank, the call
number will not show in the call number index.
Indicator 2
Single-part item
<blank>=no information
0=not
enumeration
Multi-part or serial
<blank>=no information
1=primary enumeration
We are
using the following 852 fields:
(F9 give the correct subfield code)
|b = location code
|h =classification
|I = item part (remainder of call #)
|t = copy number
|x = non-public note
|z = public note This should apply to everything in the 852, otherwise use |z in
an 866 field.
Note: Past formatting was done to accommodate
the Notis limit on 12 characters per field.
New Marcive records are being added with the entire call number in |h.
It's
not necessary to break SuDoc and WisDoc call numbers into separate |h and |I
fields.
866/867/868 Field Basics
Free
text field so data can be any format
We are
using the following subfields:

holdings data
|x =
non-public note
|z =
public note
|8 is
not needed unless if only fields 866/867/868 fields are used.
It's
not necessary to delete existing |8 on old records.
866/867/868 Indicators
Indicator 1 use:
<blank> undefined
Indicator 2 use:
0
=non-standard
MFHD Leader
For
type of record code use:
v=multi-part item
x=single-part item
y=serial item
For
Encoding level use:
1
Holdings level 1 for all single piece items. (May older records have a "z").
I can
find no consensus on what we should be using for multi-part and serial records.
Our old records were converted using "m".
008 Field
Use
receipt status "2" for everything completed. That has been used fairly consistently. Many serial records have no information. Check "separate" for anything with single
volume, single copy. Our database
was converted with "composite" when there is more than one volume, probably when
the type of record was "v" or "y". Try to be as consistent as possible.
