02/2006 (Updated by Yan Liao)
The physical volumes/copies will have been deleted from Voyager before the work comes to Cataloging.
If there is electronic access to the journal (856 field plus MFHD), the serials cataloger will add a new e-journal record to Voyager and note on the work form that it has been done before forwarding it to the cataloger (Joan Gresens).
Pull the card from the Periodicals shelf list file.
Finish withdrawing the title on Voyager. Delete the bib record and MFHD. If there’s P. O. attached, have Acquisitions (Anne Swenson) delete P. O. first.
Delete holdings on OCLC. The system will ask if you want to delete the LDR (Local Data Record) too. The message in the dialog box reads “Your institution has one or more local data records linked to this record. Select Yes to delete your LDR(s) and OCLC symbol from this record. Select No to return to the record.” Select Yes, and both the holding and the LDR will be deleted.
Record information on the shelf list card. If necessary, choose for the shelf list card the one with the most information: a copy of the record and any cards that have old accession numbers on the verso.
Write “wd (date)” in red pen/pencil at the top of the card and initial.
Example: wd, 1/26/06, JG.
Be sure the OCLC record number is on the card.
Indicate on the card that the record is deleted from Voyager and OCLC, and the LDR is cancelled. This is done by drawing a red line through the LDR, and noting “ca” or “del” by the OCLC number.
On older titles there may be accession numbers. Draw red lines through the numbers and note: wd (date).
If easily determined, note the ending volume and year in the bibliographic description. Since Cataloging does not handle the physical volumes, this information may not be known.
Shelf List Withdrawal File—File the main shelf list card here by top line or main entry.
Statistics—the withdrawn title and volumes are counted by the person who actually deletes them from Voyager (Richard Kleifgen in Periodicals) so no tally is made in Cataloging.
Periodicals Workform—Note: done, date, initials. Return to Periodicals (Sara Weisensel) in her mailbox.
