USE OF DEL AS A LOCATION 

Del will be used as a location

1) when the holdings record is no longer needed and should be deleted, although the bibliographic record and another holdings location are active; OR 

2) when both the holdings and the bibliographic record should be deleted.  These records cannot be removed from Voyager if there is a purchase order attached to a specific holdings record. 

The use of Del, the editing of the bib record, and the suppression in the online catalog will prevent the public from seeing records that are not active, and will allow the quick identification of these records in any reports that might be generated in the future.  

Examples of use of #b del:

    1) A set of several volumes is ordered on separate records (one record per         volume) and the decision is made to catalog the volumes as a set on one record.  Obviously only one order record can be overlaid with the correct bibliographic record, so the others need to be deleted but cannot be because individual purchase orders are attached.

    2) A periodical that was first shelved in Current Periodicals has been stopped, and the older issues have been moved to Compact Periodicals.  The location of Current cannot be deleted because the purchase order is attached.  

Therefore, for holdings record only:  

1) Change the location of the affected holdings record to #b del  Add a note in a #x sub-field if appropriate.  Examples: inactive P.O.; cataloged on record #....; never received; defective, returned to publisher; etc. 

2) Take off any 866 field 

3) Suppress the holdings record 

For holdings and bibliographic record: 

1) Change the location of the holdings record to #b del  Add a note in a #x sub-field if appropriate.  Suppress the holdings record 

2) Shorten the bibliographic record, leaving the OCLC, ISBN, and classification numbers, as well as the title, publisher, and collation fields.  Take off all main, added, and subject entries.  Add to the shortened title field: Withdrawn title; or Withdrawn record.  This will alert anyone checking a list of suppressed titles.  Suppress the record.
